Challenge

Streamlining inefficient and fragmented document signing processes.

OBT, a Swiss service and consulting company operating in the fields of fiduciary services, auditing, tax and legal advice, HR services, and comprehensive IT solutions, with 11 branches and 550 employees, primarily worked with physical signature workflows. This process was slow, labour-intensive, and inconsistent, causing delays in operations. A previous attempt to digitise workflows using an electronic signature solution introduced further challenges – it required 3rd-party identity verification, creating friction that led to declining acceptance across the organisation.

Additionally, employees faced confusion regarding the appropriate use of electronic signatures, and inconsistencies such as “mixed-signature” scenarios (one person signing digitally, the other physically) led to workflow disruptions. The result was a significant need for a unified, user-friendly solution that would modernise signature management and streamline processes across the group.

Solution

A unified eSignature solution with integrated digital identity verification.

To address these inefficiencies, OBT adopted DeepSign for its electronic signature needs alongside DeepID for seamless digital identity verification. DeepCloud tailored the platform to meet OBT’s unique enterprise requirements by providing an advanced setup, including features such as domain verification and multiple business units management under a single subscription.

The DeepSign integration process was seamless, empowering employees to use qualified electronic signatures (QES) with ease. By leveraging the free identity verification process from DeepID that requires only an official document and smartphone, OBT overcame previous barriers to adoption. Employees could quickly verify their identities in a user-friendly and efficient manner, removing the barrier previously posed by external verification processes.

The solution enabled OBT to digitise its signing processes while reinforcing legal compliance under Swiss and EU law, increasing adoption rates, and accelerating workflows.

A unified electronic signature platform is now in place, which 60% of OBT’s 550 employees actively use. Signing processes have been significantly accelerated, with OBT now using approximately 300 qualified electronic signatures (QES) every month. The organisation has also enhanced digitalisation efforts, allowing smoother operations across all 11 office locations.

Thanks to the intuitive design, user-friendliness, and integrated digital identity verification, DeepSign and DeepID enable OBT AG to manage signatures securely and effortlessly.Going forward, OBT plans to integrate DeepSign directly into its ERP system and other core business applications to further optimise workflows.
