Challenge

When collective signatures become a bottleneck

During the pandemic, the situation at GGA Maur changed fundamentally. Contracts could no longer be signed in person, as it was not possible to bring all authorised signatories together physically. Even after the pandemic, however, the challenge remained.

External commitments, distributed workplaces and an increasing share of remote work made it difficult to gather all required signatories in one place. Especially for collective signatures, this repeatedly led to delays, additional coordination effort and unnecessary costs.

The existing process was no longer fit for purpose and slowed down workflows that should have been efficient and reliable.

Solution

Digital processes with DeepCloud

The connection with DeepCloud was established through the existing IT partner All Consulting, which was already supporting the company in the areas of Abacus payroll and time recording (AbaClik). To address this challenge sustainably, GGA Maur decided to digitalise its signing process. At first, scanned and inserted signatures were used, but it quickly became clear that this approach did not allow for proper identity verification and was neither secure nor future proof.

The cooperative therefore deliberately chose DeepSign in combination with DeepID. DeepSign enables legally compliant digital signatures, while DeepID ensures the clear identification of the signing person. The Swiss certification and the seamless integration into the existing Abacus ERP system were particularly convincing.

As a result, the signing process became fully digital, traceable, secure and location independent, without media breaks or manual intermediate steps.

Results

More efficient, secure and cost effective

Since introducing DeepSign and DeepID, processes at GGA Maur Cooperative have become noticeably simpler. Signatures can now be collected regardless of time and location, without the need for multiple people to meet in person.

At the same time, the organisation benefits from measurable efficiency gains: significantly less time spent collecting signatures, reduced printing and mailing costs, and faster, more reliable processes overall.

Even after the pandemic, the cooperative consciously decided to stick with the digital solution. The efficiency gains, as well as the security and transparency of the new process, proved convincing in the long term.
