In the fast-paced world of retail, efficiency is key. Migros Ostschweiz processes numerous employee contracts every month, but their manual process, which involved sending, printing, signing, scanning, resending and checking contracts with each new hire, meant it took on average ten days to complete the necessary paperwork with candidates.

In an effort to digitalise new hire contract signing and overcome their efficiency gap, Migros sought out a digital signature solution that could meet their demanding criteria. First, the solution had to be simple and frictionless, requiring no
complicated registration from the contract signer. Second, it had to work independently, without a complicated API. Lastly, the electronic signature solution had to promise strict compliance with Migros and Switzerland’s stringent privacy and data protection rules.

Thanks to a chance conversation, Sandro Albrigo heard about DeepSign and decided to look into it. And what he discovered convinced him to give DeepSign a try. “With Deepsign, we could customise the service according to our needs.”

DeepSign’s combination of lower cost, pricing flexibility, simplicity, standalone functionality and regulatory compliance offered Migros Ostschweiz exactly what they needed.

Technical implementation was simple and fast, completed in roughly two months. As expected, legal compliance took somewhat longer, but within six months DeepSign was up, running, and being used to execute 200 simple electronic signatures (SES) a month.

Results

Expanding the use of DeepSign electronic signatures into the Legal and Purchasing departments.

Fast forward to ten months and over 2’000 electronic signatures later: their switch to DeepSign has received no negative feedback. “People understand immediately and without explanation how to use this tool,” said Albrigo. “Otherwise we would have heard some complaints.”

With contract turnaround time reduced from ten days to two days maximum, Migros Ostschweiz is now looking to achieve these same impressive results with DeepSign in other departments where efficiency and time saving is essential, like Legal and Purchasing.

Building on a successful first implementation of DeepSign, Migros Ostschweiz has every reason to believe another will succeed. It’s “very uncomplicated,” said Albrigo. “Everything is meticulously checked and we really felt that DeepCloud is interested in fulfilling our requirements and needs and that there’s a strong interest in improving the tool. With time we’ve worked together on the tool and implemented new features to increasingly adapt the tool to our needs. We’ve created a very efficient process.”
