Transport AG Aarau, a Swiss waste management company serving businesses and municipalities throughout the cantons of Aarau and Solothurn, processes thousands of supplier invoices annually as part of its accounts payable operations. Historically, this task was an entirely manual, paper-intensive process prone to inefficiencies and errors.

Invoices were always at risk of being misplaced, processing times were lengthy, and traceability was limited, creating challenges for the finance and accounting team, led by Dominik Stahel. To modernise and simplify this critical function, the company sought a solution that could deliver automation, transparency, and end-to-end process traceability.

Transport AG Aarau deployed DeepO artificial intelligence, integrated seamlessly into DeepBox, to revolutionise its accounts payable processes. A centralised invoice inbox collects supplier invoices, where DeepO uses predefined rules to automatically analyse and create records in their accounts payable system.

For the few invoices requiring manual intervention, minimal adjustments can be made via the intuitive DeepBox interface. Once processed, invoices move efficiently through the approval workflow and are paid via Abacus Electronic Banking.

This automation has not only replaced paper handling but also provided a digital platform for capturing, verifying, posting, and archiving invoices – all while enhancing transparency and reducing administrative workloads.

Since adopting DeepO and DeepBox, Transport AG Aarau processes approximately 2,000 invoices annually fully automatically, with an additional 600 handled semi-automatically. These enhancements have significantly reduced error rates and increased efficiency, allowing the team to focus on optimising other services and developing new expertise areas.

The digital transformation has simplified access to invoice data, improved traceability, and streamlined archiving processes. Moving away from paper-based systems to AI-supported automation has resulted in a centralised invoice inbox where the status and location of every document are always clear.
