At gmp International GmbH, one of the world’s most renowned architectural firms, contract signing was a structural bottleneck. Only executives were authorized to sign—prompt signing was often impossible due to assignments outside the office.

The resulting delays had noticeable effects, particularly during the onboarding process: hardware orders, access permissions, or internal planning were sometimes blocked.

To solve the problem at its root, gmp redesigned the entire onboarding process. A modern applicant management system now ensures that all relevant data is available early on. Direct supervisors are involved in the contract review; applicants receive the contract themselves as the second signatory and can sign it legally compliantly using DeepSign. This is followed by the final signature of the authorized executive, regardless of location and without any delay.

The seamless integration of Abacus and DeepSign ensures that the process now runs clearly, quickly, and error-free. Thanks to new contract templates, the entire contract is generated with just a few prompts, virtually eliminating content errors. At the same time, the HR department maintains full transparency at all times and can intervene directly or correct processes as needed.

The result is a fully digital, clearly structured, and reliable process for all parties.

Since the introduction of DeepSign, long wait times and research are a thing of the past. gmp always has a precise overview of where a contract is located and which steps have already been completed. Contracts can also be digitally approved immediately while traveling.

The quality of the contracts has also improved. Thanks to automatic generation via Abacus, documents are always produced in their latest version. After signing, they automatically land in the digital dossier and trigger the next notification steps without requiring manual intervention by employees. Through an automated process, the specialist departments receive the tasks and individual work instructions, which noticeably simplifies the onboarding of new employees.

Today’s onboarding process is not only faster but also more reliable and transparent. This represents a significant improvement over the previous paper-based and person-dependent workflow.
